1. Introduction

ERA Moment Pte. Ltd. (“ERA Moment”, “we”, “us” or “our”) provides event photography, videography, event content production, digital galleries, AI-assisted content services and related event experiences to event organizers, venues, brands and other business customers around the world.

This Privacy Policy explains how we collect, use, disclose, store and otherwise process personal data in connection with our websites, event galleries, event-content production services, AI-assisted services and other services operated by or on behalf of ERA Moment.

In many cases, ERA Moment provides services on behalf of an event organizer, venue, brand or other business customer (our “Business Customer”). The Business Customer may determine the purposes of the event, the services enabled for that event and certain categories of personal data collected or processed. In such circumstances, ERA Moment may process personal data on behalf of and in accordance with the instructions of the Business Customer.

This Privacy Policy should be read together with any event-specific notice, terms or consent presented when you use a particular feature, including our optional facial photo search feature.

2. Who We Are

ERA Moment Pte. Ltd. is a Singapore-based international event-content and experience service provider.

Our principal application, project-storage and content-delivery environment is hosted in Singapore.

3. Personal Data We May Process

The personal data we process depends on the nature of the event and the services selected by the relevant Business Customer.

3.1 Event Photographs, Video and Audio

We may collect and process photographs, video footage, audio recordings and other event media depicting attendees, speakers, exhibitors, employees, guests and other event participants.

3.2 Event and Participant Information

We may receive information from Business Customers or authorized event representatives, including:

3.3 Information Voluntarily Provided by Users

Certain optional services may allow or require users to provide information such as:

The information collected may vary by event and service configuration. We seek to collect only personal data reasonably necessary for the relevant purpose.

3.4 Technical and Usage Information

When you access our websites, event galleries or related online services, we may process limited technical and usage information, such as IP address, device type, browser information, access logs and other information reasonably necessary for security, system operation, troubleshooting and service delivery.

4. How We Use Personal Data

Depending on the services selected for an event, we may collect, use or otherwise process personal data to:

We do not sell personal data collected through our event services.

We do not use event participants' personal data for unrelated advertising targeting or behavioral profiling unless separately disclosed and permitted under applicable law.

5. AI-Assisted Content Processing

ERA Moment uses artificial intelligence, machine learning and other automated technologies as tools to support event-content production, organization and delivery.

Depending on the services and configuration selected for an event, AI-assisted processing may be used to:

Our content-production workflows may also use non-biometric visual characteristics and contextual information, such as clothing, accessories and event context, to assist with organizing or matching media within an event.

AI-assisted processing is used primarily to support event-content production and delivery. ERA Moment does not use these technologies to make decisions concerning employment, credit, admission, eligibility or other decisions that produce comparable significant effects on individuals.

Where appropriate to the relevant service, customer-facing content is subject to human review or quality-control processes before final delivery or publication.

6. Facial Recognition and Biometric Data

Certain ERA Moment services may offer optional facial-matching functionality.

For example, our optional “Find My Photos” feature allows an event attendee to upload a personal photograph or selfie for the purpose of locating event photographs in which that attendee may appear.

Where this functionality is enabled, facial characteristics may be processed and converted into facial features or other biometric information for the limited purpose of comparing and matching the attendee with relevant event photographs.

Facial recognition is not required to browse a standard ERA Moment event gallery.

Whether facial-search functionality is available for a particular event is determined by the applicable service configuration and may be controlled by the relevant Business Customer or event administrator.

Before using the optional facial photo search feature, users are presented with specific terms and information regarding the processing of their facial image and are required to provide affirmative consent before the feature is activated.

Facial images and biometric data processed through the Find My Photos feature are used only for the relevant photo-search and matching purpose.

ERA Moment does not use biometric data obtained through this feature for:

Photographs or selfies uploaded for facial search, associated facial features or biometric data generated for the search, and corresponding matching results are automatically deleted within seven (7) days following the relevant processing, unless a different retention period is specifically disclosed and agreed for a particular service where permitted by applicable law.

ERA Moment does not permanently retain biometric data generated solely for the Find My Photos function.

Users may choose not to use facial-search functionality and, where available, may continue to browse the ordinary event gallery without using facial recognition.

PDPC guidance on biometric systems emphasizes purpose limitation, consent where applicable, minimization and avoiding unnecessary retention of biometric samples. Although the PDPC biometric guide is primarily directed at security applications rather than your event-photo use case, these are sensible privacy-by-design principles for ERA to follow.

7. How We Obtain Personal Data

We may obtain personal data:

Where applicable, Business Customers and event organizers may also provide event-specific notices regarding photography, videography or other processing taking place at their events.

Where consent is required under applicable law or the applicable service configuration, we seek consent appropriate to the relevant processing activity.

Certain optional functions may require a separate affirmative action or consent before they are activated. Users must provide affirmative consent before using ERA Moment's optional facial photo search functionality.

You may choose not to use optional functions that require additional personal data.

Where applicable, you may withdraw consent by contacting us at privacy@eramoment.com.

Withdrawal of consent does not affect processing lawfully carried out before the withdrawal. Depending on the nature of the request, withdrawal may mean that we are unable to continue providing the relevant optional service.

9. Business Customers and Event Organisers

ERA Moment frequently provides event-content services on behalf of Business Customers such as event organizers, venues, brands and other organizations.

Depending on the particular arrangement, a Business Customer may determine matters including:

Where ERA Moment processes personal data on behalf of a Business Customer, we process that data in accordance with the applicable contractual arrangements, documented instructions and applicable law.

If you make a request relating to an event operated on behalf of a Business Customer, we may need to coordinate your request with that Business Customer.

10. Service Providers and Other Recipients

ERA Moment may engage authorized service providers to support the operation and delivery of our services.

These may include providers of:

We seek to provide such service providers only with the information reasonably necessary to perform the relevant function and to use appropriate contractual, organizational and technical safeguards where required.

Our service providers are not authorized by ERA Moment to use event personal data for their own unrelated marketing purposes.

We may also disclose personal data where required or permitted by applicable law, legal process, regulatory authority or to protect the rights, safety or security of ERA Moment, our customers, users or others.

11. International Data Transfers and Access

ERA Moment's principal application, project-storage and content-delivery environment is hosted in Singapore.

As ERA Moment operates internationally, personal data may in certain circumstances be accessed, transferred or otherwise processed outside Singapore, including where authorized personnel or service providers supporting the relevant event or service are located outside Singapore.

Where personal data is transferred outside Singapore, ERA Moment will take appropriate steps to ensure that the transferred personal data is protected in accordance with applicable data-protection requirements, including, where applicable, ensuring a standard of protection comparable to that required under Singapore's Personal Data Protection Act 2012.

ERA Moment applies access controls and other appropriate safeguards to limit access to personal data to authorized persons with a legitimate need to access the information for the relevant service.

12. Data Retention

ERA Moment retains personal data only for as long as reasonably necessary for the purposes for which it was collected or processed, including:

Different categories of personal data may have different retention periods depending on the nature of the service.

Personal data collected for short-term or optional functions may be subject to shorter retention periods.

In particular, as described in Section 6, photographs or selfies uploaded specifically for the Find My Photos feature, associated biometric data generated for the search, and corresponding matching results are automatically deleted within seven (7) days following the relevant processing, subject to any specifically disclosed and agreed exception permitted by applicable law.

When personal data is no longer required for a business or legal purpose, ERA Moment will take reasonable steps to delete, anonymize or otherwise securely dispose of it.

This reflects the PDPA's Retention Limitation Obligation.

13. Data Security

ERA Moment implements reasonable administrative, technical and organizational safeguards designed to protect personal data in our possession or under our control against unauthorized access, collection, use, disclosure, copying, modification, loss, disposal or similar risks.

These measures may include, as appropriate to the relevant systems and risks:

Access to event and project information is limited according to operational requirements and applicable permissions.

While no electronic system can be guaranteed to be completely secure, ERA Moment maintains and reviews safeguards appropriate to the nature of the personal data and the associated risks.

14. Your Privacy Rights

Subject to applicable law, applicable exceptions and the nature of our relationship with the relevant Business Customer, you may contact us to:

Requests may be sent to: privacy@eramoment.com

To protect your privacy and the privacy of others, we may request information reasonably necessary to verify your identity and locate the relevant data.

Where ERA Moment processes the relevant personal data on behalf of a Business Customer, we may refer or coordinate the request with that Business Customer.

The PDPA provides access and correction rights subject to statutory exceptions and also requires organizations to provide mechanisms for withdrawal of consent where applicable.

15. Photographs and Removal Requests

Event photographs and videos may contain images of multiple individuals.

If you believe that an ERA Moment-hosted event gallery contains an identifiable photograph of you that you would like us to review for removal, restriction or blurring, please contact: privacy@eramoment.com

Please provide sufficient information to allow us to identify the relevant event and photograph.

Where the event gallery is operated on behalf of a Business Customer, we may coordinate the request with that Business Customer before acting.

16. Children and Minors

ERA Moment's services are primarily provided in connection with professional, corporate, industry and organized events and are not generally directed specifically to children.

Where an optional service involves the collection or processing of personal data relating to a minor, ERA Moment and/or the relevant Business Customer will apply notice, consent or authorization requirements appropriate to the circumstances and applicable law.

Minors should not use optional facial-recognition functionality unless the applicable consent requirements, including any required parental or guardian consent, have been satisfied.

17. Personal Data Breaches

ERA Moment maintains procedures for identifying, assessing and responding to suspected or confirmed personal-data incidents.

Where a personal-data breach is subject to mandatory notification requirements, ERA Moment will take appropriate steps to notify the relevant Business Customer, affected individuals and/or competent regulatory authority as required by applicable law.

Under Singapore's PDPA, organizations must assess whether a breach is notifiable, including where it is likely to result in significant harm to individuals and/or is of significant scale.

18. Third-Party Websites and Services

Our websites, event galleries or communications may contain links to websites, platforms or services operated independently by third parties.

ERA Moment is not responsible for the privacy practices of independent third parties. We encourage users to review the applicable privacy notices of those services before providing personal data directly to them.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technologies, business practices or applicable legal requirements.

The current version will be made available on our website and will identify the applicable Last Updated date.

Where required by applicable law, we will provide additional notice regarding material changes to the way personal data is processed.
